Position Title: Office Manager
Position Status: Employee – Part-Time
Reports to: Board President
Position Summary: The part-time paid position of office manager will be the voice of the Vicksburg Historical Society when greeting and welcoming visitors and taking phone calls.
Position Specifications
- Responsible for greeting and welcoming visitors to the Vicksburg Historical Society Museum
- Responsible for training Assistant Office Manager and/or volunteers
- Responsible for answering the telephone, and returning phone calls
- Responsible for answering questions of visitors and taking information and forwarding on to the appropriate person or board member
- Responsible for receiving the mail, including membership checks, donation checks and memorial checks. Recording such checks in Past Perfect program
- Forwarding checks to the Treasurer and informing Treasurer they have been received and recorded
- Confirm in Past Perfect addresses, names, etc. are correct
- Responsible for generating “Thank You” letters from donors, memorials, memberships and any others as required
- Responsible for ordering all office supplies, archival supplies, cleaning supplies, paper products, copy machine supplies
- Responsible for opening and closing all buildings as allowed or required when working
- Act as Docent in the Depot Museum, caboose and boxcar. (Training required)
- Responsible for cleaning and organizing supply cabinets and storage facilities in Depot
- Responsible for maintaining correct order of all binders on the bookcases in the Depot
- Responsible for cleaning and sanitizing of the Depot and other buildings as required
- Participate in any training offered for position
- Coordinate volunteer assignments and recruit for volunteers as needed
- Other duties as assigned
Qualifications
- This position is suitable for adults 18 years and older
- Work experience of 2+ years in front line hospitality, retail, school classroom or administration is a plus
- Applicants must be comfortable and confident working with the public
- Ability to work independently and as part of a team
- Possess strong verbal communication skills, including the ability to speak articulately to large groups
- Ability to interact with a wide range of audiences including visitors to school age children and teachers
- Computer skills essential
- Ability to lift, carry, or otherwise move and position equipment weighing up to 30 pounds
- Ability to present a professional, welcoming appearance to museum visitors
- Ability to follow verbal directions
- Commitment to the mission, values, and programs of the Vicksburg Historical Society
- Must be willing to work Friday, Saturday and Sunday with the hours of 11:00 – 5:30
- Some other shifts may be required (special events – Harvest Fest, etc.)
- Ability to work other days or schedules as required
- High School Diploma or equivalent
- Valid Michigan Driver’s License
